Connecting Timedox to Your Payroll System in 5 Minutes

Why Integrate

Manual payroll processing is the last mile problem of time tracking. Even with perfect time data, re-entering hours into a payroll system introduces errors and wastes 2-4 hours per pay period for a typical 50-person company.

Timedox integrates directly with the four most popular payroll platforms: QuickBooks, ADP, Gusto, and Paychex. Approved timesheets sync automatically, employee profiles stay in sync, and pay rates are mapped correctly across both systems.

QuickBooks Setup

Navigate to Settings > Integrations > QuickBooks in your Timedox dashboard. Click Connect and sign in with your QuickBooks Online credentials. Timedox will request permission to read employee data and write time entries.

Once connected, map your Timedox departments to QuickBooks classes (optional but recommended for job costing). Enable automatic sync, and approved timesheets will flow to QuickBooks within 5 minutes of approval. The entire setup takes about 3 minutes.

ADP, Gusto, and Paychex

The setup process is nearly identical for all three platforms. Navigate to Settings > Integrations, select your provider, authenticate with your credentials, and map your employee profiles.

Timedox matches employees by email address first, then by name. Any unmatched employees are flagged for manual review. Most companies achieve a 100% automatic match rate if employee emails are consistent across both systems.

Troubleshooting Common Issues

The most common integration issue is duplicate employees. This happens when an employee's name or email differs between Timedox and the payroll system. The fix is simple: update the employee record in either system to match, then re-run the sync.

If approved timesheets are not appearing in your payroll system, check the sync frequency setting. Real-time sync pushes data immediately; scheduled sync runs at a time you configure (typically overnight). Both options are available for all four integrations.
