The Hidden Cost of Payroll Disputes
Payroll disputes cost U.S. businesses an estimated $7.4 billion annually. For companies with field teams, the problem is even worse: without a reliable way to verify where and when employees clocked in, every timesheet becomes a potential argument.
We surveyed 1,200 Timedox customers and found that before implementing GPS-verified time tracking, the average business spent 4.2 hours per week resolving payroll disputes. That is over 200 hours per year of management time wasted on arguments that could have been prevented with better data.
How GPS Verification Works
When an employee clocks in through the Timedox mobile app, the system captures a GPS coordinate and attaches it to the time entry. This location is compared against pre-configured job sites or geofences. If the employee is within the approved radius, the clock-in is verified automatically.
If they are outside the approved zone, the entry is flagged for manager review but still recorded. Employees can add notes explaining the discrepancy, and managers can approve or modify entries with a single tap. The original data is always preserved for audit purposes.
Results from 1,200 Companies
After 6 months of using Timedox with GPS verification enabled, our customers reported a 94% reduction in payroll disputes. The remaining 6% were largely related to legitimate schedule changes that required manager approval.
Beyond dispute reduction, companies saw a 23% decrease in overtime costs (from better real-time visibility) and a 97% employee adoption rate (because one-tap clock-in is faster than paper). The ROI was measurable within the first pay period.
Privacy-First Approach
GPS data is only captured at the moment of clock-in and clock-out. Timedox does not continuously track employee locations throughout the day. This approach gives employers the verification data they need while respecting employee privacy.
All location data is encrypted in transit and at rest, and employees can view their own GPS records at any time through the mobile app. Transparency builds trust, and trust drives adoption.
